Refund Policy

REFUND, CANCELLATION, POSTPONEMENT, EVENT CREDIT & CHARGEBACK POLICY

PURPOSE

This Refund, Cancellation, Postponement, Event Credit, and Chargeback Policy (“Policy”) governs all purchases made from Oasis Health Expo (“Organizer”), including but not limited to:
By purchasing any product or service, the purchaser (“Customer”) acknowledges that they have read, understood, and agreed to this Policy, which forms an integral part of the Organizer’s Terms and Conditions.

ALL SALES ARE FINAL

Except where expressly provided herein or where prohibited by applicable law, ALL SALES ARE FINAL.
No refunds shall be issued because of:

● Change of mind
● Scheduling conflicts
● Personal emergencies
● Medical issues
● Illness
● Travel delays
● Airline cancellations
● Visa denials
● Immigration issues
● Financial hardship
● Business commitments
● Failure to obtain accommodations
● Weather affecting Customer travel
● Customer dissatisfaction
● Lower-than-expected attendance
● Sales performance
● Marketing results
● Customer expectations
● Third-party actions or omissions

Purchasing an Oasis Health Expo product or service constitutes acceptance of these terms.

EVENT POSTPONEMENT

Organizer reserves the right to postpone an Event for reasons including, but not limited to:

● Venue availability
● Operational requirements
● Public safety
● Severe weather
● Government restrictions
● Health emergencies
● Force majeure events
● Security concerns
● Logistical issues
● Speaker availability
● Circumstances beyond the Organizer’s reasonable control

A postponed Event shall not be considered cancelled.
Customer registrations, vendor booths, sponsorships, advertising, and all purchased rights shall automatically transfer to the Replacement Event. No refund shall be due solely because an Event has been postponed.

REPLACEMENT EVENT

A postponed Event shall remain valid provided the Organizer announces a Replacement Event within twelve (12) months of the original Event date.
The Replacement Event may:

● Occur on a different date;
● Be held at the original venue or another reasonably comparable venue;
● Occur within the same metropolitan area or geographic market, or another commercially
reasonable location if necessary;
● Include revised programming;
● Include revised schedules;
● Include revised exhibitors;
● Include revised speakers;
● Include revised floor plans.

The Customer expressly agrees that a Replacement Event constitutes substantial performance of the Organizer’s contractual obligations.

EVENT CANCELLATION

If the Organizer permanently cancels an Event and does not announce a Replacement Event within twelve (12) months of the original Event date, the Customer may request one of the following remedies, subject to applicable law:

1. Refund of amounts paid for the undelivered Event services; or
2. Event Credit equal to the amount paid.

No additional damages, consequential losses, lost profits, travel expenses, hotel expenses, or incidental costs shall be payable unless required by applicable law.

EVENT CREDIT POLICY

Where permitted by law, Organizer may issue Event Credits instead of cash refunds. Event Credits:

● Equal the value of the original purchase;
● May be redeemed toward future Oasis Health Expo events;
● Are valid for twenty-four (24) months from issuance unless a longer period is required by
law;
● Are transferable only with Organizer’s written approval.

Acceptance or use of an Event Credit satisfies the Organizer’s refund obligation for the applicable purchase.

VENUE CHANGES

Organizer reserves the right to relocate an Event.
Venue changes shall not constitute cancellation
Venue changes do not entitle the Customer to a refund provided the substitute venue is reasonably suitable for the Event.

DATE, TIME AND PROGRAM CHANGES

Organizer reserves the right to modify:

● Event dates
● Operating hours
● Session schedules
● Educational programming
● Demonstrations
● Workshops
● Networking sessions
● Entertainment
● Speakers
● Panelists
● Moderators
● Floor plans
● Booth layouts

Such changes do not constitute cancellation or material breach.

BOOTH ASSIGNMENTS

Vendor booth locations are subject to change
Organizer may reassign booth locations for operational, safety, sponsorship, or traffic-flow reasons.
No refund shall be due because of booth relocation.

SPEAKER, EXHIBITOR AND CONTENT CHANGES

Organizer may substitute or remove speakers, exhibitors, presenters, entertainers, or educational content
These changes shall not create any refund rights.

FORCE MAJEURE

Organizer shall not be liable for refunds, damages, or losses caused by events beyond its reasonable control, including but not limited to:

● Hurricanes
● Floods
● Tornadoes
● Earthquakes
● Fire
● Pandemics
● Epidemics
● Government restrictions
● Terrorism
● War
● Civil unrest
● Utility failures
● Internet outages
● Cyberattacks
● Labor disputes
● Venue damage
● Transportation interruptions
● Acts of God

Organizer may postpone the Event and transfer all registrations to the Replacement Event.

CUSTOMER CANCELLATIONS

Customer cancellations are non-refundable.
This includes:

● Vendors
● Sponsors
● Advertisers
● Exhibitors
● Attendees
● Speakers

regardless of the reason for cancellation.

NO GUARANTEE OF RESULTS

Organizer does not guarantee:

● Sales
● Leads
● Revenue
● Profits
● Business opportunities
● Attendance levels
● Media exposure
● Networking success
● Marketing results
● Return on investment

Customer assumes all business risk associated with participation.

DIGITAL PRODUCTS

Digital products become non-refundable once production or delivery has commenced.
This includes:

● Website listings
● Digital advertisements
● Event brochure advertisements
● Graphic design
● Social media promotions
● Printed publications
● Marketing campaigns

SUBSTANTIAL PERFORMANCE

Organizer’s contractual obligations shall be deemed satisfied when it has substantially performed the purchased services.
Substantial performance includes providing:

● Event participation opportunities;
● Vendor exhibition opportunities;
● Sponsorship benefits;
● Advertising exposure;
● Networking opportunities;
● Educational programming.

Operational changes do not constitute material breach.

REPLACEMENT EVENT CRITERIA

A Replacement Event shall be deemed substantially similar where it maintains substantially the same:

● Event name;
● Event purpose;
● Target audience;
● Geographic market or comparable location;
● Vendor opportunities;
● Sponsorship benefits;
● Advertising benefits;
● Educational objectives;
● Networking opportunities

Reasonable operational modifications shall not constitute cancellation.

CUSTOMER ACKNOWLEDGMENT

Before completing payment, Customer must actively acknowledge:

I have read and agree to the Oasis Health Expo Terms and Conditions, Refund
Policy, Cancellation Policy, Postponement Policy, and Event Credit Policy. I
understand that all sales are final except as expressly provided. I understand
that postponed events automatically transfer to a Replacement Event and do
not automatically qualify for refunds.

The acknowledgment checkbox shall not be pre-selected
Electronic acceptance constitutes the Customer’s electronic signature.

POST-PURCHASE COMMUNICATIONS

Organizer may provide:

● Purchase confirmations;
● Invoices;
● Receipts;
● Registration confirmations;
● Booth confirmations;
● Exhibitor manuals;
● Floor plans;
● Event reminders;
● Event updates;
● Venue updates;
● Schedule revisions;
● Postponement notices;
● Replacement Event announcements;
● Operational instructions.

Notice sent to the Customer’s last provided email address or telephone number shall constitute effective notice unless applicable law provides otherwise.

PAYMENT DISPUTES

Customers are encouraged to contact Organizer before initiating a payment dispute or chargeback to allow an opportunity to investigate and resolve the matter
Nothing in this Policy limits any non-waivable rights available under applicable law or applicable payment card network rules.

CHARGEBACK RESPONSE

If a payment dispute is initiated, Organizer may provide evidence including:

● Signed agreements;
● Electronic acceptance records;
● Checkout logs;
● Payment receipts;
● Invoices;
● Confirmation emails;
● Event reminders;
● SMS notifications;
● Postponement notices;
● Replacement Event announcements;
● Event photographs;
● Badge scans;
● Attendance records;
● Booth assignments;
● Advertising proofs;
● Marketing materials;
● Customer correspondence;
● CRM records;
● Website notices;
● Social media announcements;
● Other relevant business records maintained in the ordinary course of business.

ELECTRONIC RECORDS

Organizer maintains electronic business records in the ordinary course of business, including:

● Purchase timestamps;
● Acceptance logs;
● Payment processor confirmations;
● Customer account history;
● Email delivery records;
● SMS delivery records;
● IP address information;
● Browser information;
● Device information where lawfully collected;
● Support tickets;
● Website announcements.

These records may be relied upon to verify Customer agreement and Organizer performance.

CUSTOMER CONTACT INFORMATION

Customers are responsible for maintaining accurate:

● Email addresses;
● Telephone numbers;
● Mailing addresses.

Organizer shall not be responsible for missed communications resulting from inaccurate or outdated contact information supplied by the Customer.

SEPARATE AGREEMENTS

Organizer may require separate agreements for:

● Vendors;
● Sponsors;
● Advertisers;
● Speakers;
● Volunteers;
● Exhibitors;
● Premium attendees.

Such agreements incorporate this Policy by reference. If an executed written agreement expressly conflicts with this Policy, the written agreement controls only to the extent of the specific conflict

GOVERNING LAW

This Policy shall be governed by the laws designated in the Organizer’s Terms and Conditions, without regard to conflict-of-law principles.

SEVERABILITY

If any provision of this Policy is held invalid or unenforceable, the remaining provisions shall remain in full force and effect to the maximum extent permitted by law.

ENTIRE AGREEMENT

This Policy, together with the Organizer’s Terms and Conditions and any applicable written agreement, constitutes the entire agreement concerning refunds, cancellations, postponements, event credits, and payment disputes.
